    Privacy Policy

    Last updated: September 23, 2026

    Duplifox LLC (“Duplifox,” “we,” “us”) provides a data-deduplication tool for Excel-based business records (the “Service”). This policy explains what information we collect, how we use it, and what happens to it when you stop using Duplifox.

    What we collect:

    Account information. Your email address and password when you create an account. Passwords are never stored or visible to us in plain text. Our authentication provider (Supabase) handles credential storage securely.

    Payment information. If you subscribe, payment is processed entirely by Stripe. We never see, receive, or store your card number or other payment credentials.

    Account and subscription records. We store a small amount of account and subscription status data needed to operate login, billing status, and support.

    Usage data. We may collect limited technical and product-usage information (for example, that a job was run, feature used, or error occurred). We do not use the contents of your uploaded spreadsheets for analytics, advertising, or model training.

    What happens to your uploaded files:

    Excel files you upload through the Service are compared and deduplicated based on your preferences. This automatic, temporary handling applies only to files uploaded through the Service. Please do not send data files to us by email or any other channel outside the Service. Files sent that way are not covered by the automatic deletion process described here, and we ask that you not send them that way for support requests.

    Your spreadsheets are processed temporarily, only for the duration of your session, in order to perform the deduplication you requested. We do not store your uploaded files in a database, back them up, review their contents, or use them for any purpose other than running the comparison you asked for. Temporary copies are automatically deleted on a routine cleanup cycle, within a few hours of your session ending at the latest.

    We do not sell, share, or otherwise use the contents of your uploaded files for any purpose beyond providing the deduplication service to you.

    Third parties we rely on:

    Running Duplifox requires a small number of service providers, each handling only what is necessary for their function:

    • Stripe—payment processing and subscription billing

    • Supabase—account login and a small amount of account and subscription data storage

    • Render—hosting the application itself

    We do not sell your information to third parties or use it for advertising.

    Subscription AutoRenewal:

    Subscriptions renew automatically at the end of each billing period until you cancel. You can cancel at any time through your account settings or by emailing duplifoxsupport@duplifox.com.

    If you cancel, you keep full access through the end of your current paid period, and your subscription will not renew after that.

    Data retention and deletion:

    • Uploaded files are not retained beyond your active session (see above).

    • Account and billing information is retained while your account is active, and for a limited period after cancellation in case you decide to resubscribe.

    You can request full deletion of your account and associated data at any time by contacting us at: duplifoxsupport@duplifox.com.

    Security:

    • All traffic to and from Duplifox is encrypted (HTTPS).

    • Data at rest is encrypted by our infrastructure providers.

    • We never handle or store raw payment card data—that is processed directly by Stripe.

    • Access to your account data is restricted so that other users cannot see it.

    Your rights:

    You can request a copy of your account information, or request that we delete your account and associated data, by contacting us at: duplifoxsupport@duplifox.com.

    Changes to this policy:

    We may update this policy from time to time. We will update the “Last updated” date above when we do.

  • Terms of Service

    Terms of Service

    Last updated: September 23, 2026

    These Terms of Service (“Terms”) govern access to and use of Duplifox (the “Service”), provided by Duplifox LLC, a Texas limited liability company (“Duplifox,” “we,” “us”). By creating an account, clicking to accept these Terms, or using the Service, you agree to these Terms on behalf of yourself and any organization you represent. Anyone who uses your login credentials is also bound by these Terms, and you are responsible for their activity.

    These Terms, together with the Privacy Policy, are the entire agreement between you and Duplifox regarding the Service and supersede any prior agreements on the same subject.

    1. Eligibility

    You must be at least 18 years old and have the legal capacity to enter a binding contract. If you use the Service on behalf of a company or other organization, you represent that you have authority to bind that organization, and “you” includes that organization.

     2. The Service

    Duplifox compares Excel spreadsheets you upload and helps identify and remove duplicate records, based on settings you control (matching columns, similarity threshold, and your Accept / Reject / Keep decisions on each flagged match).

    The Service is a software tool. Output depends on the data and settings you provide. Matching is not guaranteed to be complete or correct for every dataset. Review flagged matches before accepting them. Results are not legal, tax, accounting, compliance, or professional advice.

    We may modify, suspend, or discontinue the Service or any feature at any time. We will try to give reasonable notice of material changes that affect paying subscribers, but we are not obligated to keep any particular feature available.

    3. License to use the Service; our intellectual property

    Subject to these Terms and timely payment of applicable fees, we grant you a limited, non-exclusive, non-transferable, non-sublicensable, revocable license to access and use the Service solely for your internal business purposes during your paid or trial term.

    We and our licensors own all right, title, and interest in the Service, including software, user interface, algorithms, documentation, trademarks, and any improvements or derivative works, even if suggested by you. No rights are granted except as expressly stated. You may not share your user credentials, copy, modify, reverse engineer, decompile, scrape, or create derivative works of the Service, or use automated means to access it, except to the extent applicable law prohibits that restriction.

    We welcome feedback. But, if you send ideas, suggestions, or other feedback, you grant Duplifox a perpetual, irrevocable, worldwide, royalty-free license to use that feedback for any purpose without obligation. Feedback does not include the contents of files you upload.

    We may use aggregated, anonymized information about how the Service is used (for example, that a job completed or an error occurred) to operate and improve the Service. That does not include the contents of your uploaded files.

    4. Your account

    You are responsible for keeping login credentials confidential and for all activity under your account. Notify us promptly at duplifoxsupport@duplifox.com if you believe your account has been compromised. You may not share accounts or resell access. You agree to provide accurate account information and keep it current.

    5. Subscriptions, billing, and cancellation

    Subscriptions are billed in advance for the term shown at checkout (currently annual) and renew automatically at the then-current price unless you cancel before the renewal date.

    You may cancel at any time in your account settings or by emailing duplifoxsupport@duplifox.com. Cancellation stops future renewal. You keep full access through the end of the period already paid for. We do not issue refunds for partial or unused periods.

    We may change prices for a future renewal term. If we do, we will give notice (for example by email or in-product notice) before the renewal that will be charged at the new price. If you do not cancel before that renewal, you agree to the new price.

    You are responsible for any applicable sales, use, value-added, or similar taxes, except taxes based on our net income. Failed or past-due payments may result in suspension of access until the balance is resolved. Chargebacks initiated without first contacting us may result in account suspension.

    6. Your data and files

    You retain all rights to the files you upload and the data they contain (“Customer Data”). You grant Duplifox a limited license to host, process, transmit, and display Customer Data solely as needed to provide the Service to you. That license ends when the applicable temporary files are deleted as described in the Privacy Policy.

    By using the Service, you warrant that you have the legal right to possess, upload, and process that data, and that your use will not violate any third-party rights or applicable law.

    Make a backup. You are responsible for keeping your own backup of any file before uploading it. The Service will present suggested matches and let you accept, reject, or choose which record to keep. Any changes made to your data—whether by your review decisions or by automatic options such as “Remove duplicates now”—are made at your direction and are your responsibility. We are not responsible for loss, corruption, or unintended modification of data you upload. The Service requires you to confirm you have a backup before each run.

    Because uploaded files are processed ephemerally and not retained as a stored copy for you, you should download any output you need during your session. We are not obligated to store or later reconstruct Customer Data after the session cleanup cycle.

    7. Acceptable use and prohibited data

    You agree not to:

    • upload data you do not have the right to use;

    • attempt to disrupt, overload, or gain unauthorized access to the Service;

    • share login credentials or resell the Service;

    • use the Service for any unlawful purpose;

    • probe, scan, or test the vulnerability of the Service except with our prior written consent.

    The Service is intended for general business records — contact lists, account records, and similar data — and is not designed or certified to handle regulated or highly sensitive personal data. You agree not to upload, and not to permit anyone else to upload, any of the following:

    • Protected health information (PHI) or other information regulated under HIPAA or similar health-privacy laws;

    • Social Security numbers or other government-issued identification numbers (passport, driver’s license, national ID, and similar);

    • Full payment card numbers, bank account numbers, or other financial account credentials;

    • Any other data subject to specialized regulatory requirements (for example, data covered by GLBA, FERPA, or similar sector-specific laws) that the Service has not been designed to handle.

    We rely on the above restrictions and do not independently screen uploaded files for prohibited data. If you upload prohibited data, you do so at your own risk and remain solely responsible for any resulting liability.

    8. Third-party services

    The Service depends on third-party providers, including Stripe (payments), Supabase (authentication and limited account storage), and Render (hosting). Their outages, errors, or changes are outside our control. Your use of payment processing is also subject to Stripe’s terms.

    9. Export and sanctions

    You may not use the Service if you are located in a country subject to comprehensive U.S. sanctions, or if you are on a U.S. government denied-party list. You are responsible for compliance with applicable export and sanctions laws.

    10. Disclaimers

    THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE, INCLUDING ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT, AND ANY WARRANTY THAT THE SERVICE WILL BE ERROR-FREE, UNINTERRUPTED, OR AVAILABLE AT ALL TIMES. DUPLICATE-MATCHING RESULTS DEPEND ON THE DATA AND SETTINGS YOU PROVIDE. NO MATCHING PROCESS IS GUARANTEED TO BE PERFECT FOR EVERY DATASET.

    WE ARE NOT RESPONSIBLE FOR ANY LOSS, CORRUPTION, OR UNINTENDED MODIFICATION OF DATA OR FILES YOU UPLOAD OR PROCESS USING THE SERVICE. YOU ARE SOLELY RESPONSIBLE FOR MAINTAINING YOUR OWN BACKUPS BEFORE USING THE SERVICE.

    11. Limitation of liability

    TO THE FULLEST EXTENT PERMITTED BY LAW, NEITHER DUPLIFOX NOR ITS OFFICERS, DIRECTORS, EMPLOYEES, OR SUPPLIERS WILL BE LIABLE FOR ANY LOST PROFITS, LOST DATA, OR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES ARISING FROM YOUR USE OF THE SERVICE, EVEN IF ADVISED OF THE POSSIBILITY OF THOSE DAMAGES.

    OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE—INCLUDING ANY CLAIM RELATED TO DATA LOSS—IS LIMITED TO THE AMOUNT YOU PAID FOR THE SERVICE IN THE 12 MONTHS BEFORE THE CLAIM AROSE.

    These limitations apply regardless of the legal theory (contract, tort, statute, or otherwise) and are an essential basis of the bargain. They do not limit liability that cannot be limited under applicable law, such as liability for our own fraud or willful misconduct.

    12. Indemnification

    By use of the Service, you indemnify, and agree to defend and hold harmless Duplifox LLC and its officers, directors, employees, and agents from any claims, damages, losses, and expenses (including reasonable attorneys’ fees) arising out of or related to: (a) your use of the Service; (b) any use of the Service under your login credentials, (c) Customer Data, including any claim that you lacked the right to upload or process it; (d) your violation of these Terms; or (e) your violation of any third-party right or law.

    If a third-party claims that the Service itself, as provided by us and used by you in accordance with these Terms, infringes a U.S. copyright or patent, we will defend you against that claim and pay damages finally awarded against you, provided you give us prompt notice, reasonable cooperation, and exclusive control of the defense and settlement. This obligation does not apply to claims arising from Customer Data, your combination of the Service with other software or data, or your use after we notify you to stop using an allegedly infringing feature. If infringement is alleged, we may modify the Service, obtain a license, or terminate the affected portion and refund prepaid fees for the unused remainder of the then-current term. This section states our entire liability for intellectual-property infringement.

    13. Termination

    You may cancel your account at any time as described in Section 5. We may suspend or terminate accounts that violate these Terms, that present a security or legal risk, or for non-payment. We may also terminate the Service as a whole as described in Section 2.

    On termination, your license ends. Sections that by their nature should survive—including Sections 3 (our IP and feedback), 6–7 (your warranties and prohibited data), 10–12 (disclaimers, liability, indemnity), 14–16 (governing law, miscellaneous, notices), and this survival sentence—remain in effect.

    14. Governing law and venue

    These Terms are governed by the laws of the State of Texas, without regard to conflict-of-law principles. Any dispute arising from these Terms or the Service will be resolved exclusively in the state or federal courts located in Texas, and you consent to that jurisdiction and venue. If you are a consumer in a jurisdiction that prohibits this choice of venue, that jurisdiction’s mandatory rules apply to the extent required.

    15. Miscellaneous

    Severability. If any provision is found unenforceable, the remaining provisions stay in effect to the maximum extent permitted by law.

    Assignment. You may not assign these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, corporate reorganization, or sale of assets.

    Force majeure. We are not liable for delay or failure to perform caused by events beyond our reasonable control, including outages of third-party infrastructure, internet failures, or acts of government.

    No waiver. Failure to enforce a provision is not a waiver of the right to enforce it later.

    Relationship. These Terms do not create a partnership, joint venture, or employment relationship.

    16. Notices and electronic communications

    You consent to receive notices electronically, including by email to the address on your account or by in-product message. Notices we send are deemed given when sent. Legal notices to us must be sent to duplifoxsupport@duplifox.com and, if you need a physical address for formal process, we will provide it on request.

    17. Changes to these Terms

    We may update these Terms from time to time. We will update the “Last updated” date and, for material changes that affect paying subscribers, we will provide notice by email or in the Service. Continued use after the effective date of a change means you accept the updated Terms. If you do not agree, you must stop using the Service and cancel before the next renewal.
